Introduction> 8 I NTRODUCTION Congratulations on buying this colour printer. Your new printer is designed with advanced feature s to give you clear, vibrant colour prints and crisp black and white pages at high speed on a range of print media for the o ffice.

Introduction> 10 P RINTER OVERVIEW F RONT VIEW The LCD display language can be changed to show differe nt languages. (see “Changing the display language” on page 12). 1. Output stacker , face down. Standard printed copy delivery point. Holds up to 250 sheets at 80g/m².
Introduction> 11 R EAR VIEW This view shows the connection panel, the rear output stacker and the location of the optional duplex (two-sided printing) unit. * The Network Interfac e has a protective “pl ug” which must be removed before connection can be made.

Paper recommendations> 13 P APER RECOMME NDATIONS Your printer will handle a variety of print media, including a range of paper weights and sizes, transparencies and envelopes. This section provides general advice on choice of media, and explains how to use each type.
Paper recommendations> 14 C ASSETTE TRAYS If you have identical paper stock lo aded in another tray (2nd tray if you have one, or multi purpose tray) you can have the printer automatically switch to the other tray when the current tray runs out of paper.
Paper recommendations> 15 F ACE DOWN STACKER The face down stacker on the top of the printer can hold up to 250 sheets of 80g/m² standard paper, and can hand le pape r stocks up to 176g/m². Pages printed in reading order (page 1 first) will be sorted in reading order (last page on top, facing down).

Loading pape r> 17 3. Load letter headed paper face down and top edg e towards the front of the printer , as shown. 4. Adjust the rear stopper (1) and paper guides (2) to the size of paper being used. To prevent paper jams: • Do not leave space between the paper and the guides and rear stopper .
Loading pape r> 18 6. F or face down printing, make sure the face up (rear) stacker (3) is closed (the paper exits from the top of the printer). Stacking capacity is approximately 250 sheets, depending on pap er weight. 7. F or face up printing, make sure the face up (rear) stacker (3) is open and the paper support (4) is extended.
Loading pape r> 19 M ULTI PURPOSE TRAY 1. Open the multi purpose tr ay (1). 2. F old out the paper supports (2). 3. Press gently down on the paper platform (3) to ensure it is latched down. 4. Load the paper and adjust the paper guide s (4) to the size of paper being used.

(Optional duplex unit must be installed for this function.) • Env elopes should be loaded face up with top edge to the left and short edge into the printer .
Printer settings in Wind ows> 21 P RINTER SETTINGS IN W INDOWS Your printer’s operator panel menus provide access to many options. The Windows printer driver also contains settings for many of these items.
Printer settings in Wind ows> 22 P OST S CRIPT EMULATION 1. P age orientation sets portra it (tall) or landscape (wide) page orientation. The “rotated” rotates the paper through 90 degrees anti-clockwise. 2. When printing double sided pages (duplex unit required).
Printer settings in Wind ows> 23 PCL EMULATION When you click the Properties button from your application’s Print dialogue, the driver window opens to allow you to specify your printing preferences for this document.
Printer settings in Wind ows> 24 S ECURE PRINTI NG Secure printing allows you to print confidential documents on printers that are shared with other users in a network environment. The document does not print until a PIN (Personal Identification Number) is entered through the Printer Control Panel.
Printer settings in Wind ows> 25 3. The Job PIN (Personal Identification Number) window opens. 4. If the PIN window does not open, click the [PIN] button. 5. In the Job PIN window , enter a [name] for this print job. 6. The name may be up to 16 alpha-numeric char acters.
Printer settings in Wind ows> 26 P RINTING THE DOCUMENT Your secure print job is printed using the Printer Control Panel on the front of the printer. 1. When the printer is idle (“ONLINE” indicated in the display), use the +/- buttons to select the PRINT JOB menu, then press [ENTER].
Printer settings in Wind ows> 27 D ELETING A SECURE PRINT DOCUMENT If you change your mind about printing a secure docume nt, you can delete it from the printer’s hard disk without printing it first. 1. Follow steps 1 to 4 in the above procedure for printing the document.

A Guide to printing > 30 C HANGING THE DRIVER DEFAULTS W IND OWS XP/200 0/S ERVER 2003 1. Click [Start] → [Printers and F ax es] to open the Printers and F axes window . 2. In the Printers and F ax es window , right-click on the appropriate printer driver icon, and choose [Printing Preferences] from the context menu.

A Guide to printing > 33 B LACKS AND G REYS B LACK OVERPRI NT Black overprint eliminates the white edge between the printed fonts and the coloured background. Black overprint can only be used when printing 100 percent black text over a background colour.

A Guide to printing > 35 Use True Black when printing a combination of text and graphics. If you use True Black to print photographs, dark sections of the photos may appear black. Windows (Office Colo ur) 1. On the driver’ s [Colour] tab, select [Office Colour] (1) and click the [Options] button.

A Guide to printing > 37 F INE LINES ENHANCEMENT This feature can be used to emphasize the p en width of very fine lines (minimum line width). With some software applications, if this feature is turned ON, the spaces in bar codes may become too narrow.
A Guide to printing > 38 G REYSCALE PRINTING If you select Greyscale, the printer converts all colours into shades of grey, and prints using only black toner. Use Greyscale to s peed up printi ng of proof copies or when you do not need to print a colour document in colour.

Colour matching > 41 C OLOU R MATCHING B ASICS There are three methods by which your document’s colour can be managed and adjusted: 1. Application Colour Management (1) . Some graphics and desktop publishing programs such as Adobe Photoshop, Adobe Illustrator, and Quark Xpress have their own built-in colour management systems.
Colour matching > 42 3. Printer Colour Management (3) . When you print your document and mo dify settings in the printer driver, the printer performs colour adjustments. W HAT THIS GUIDE DESCRIB ES This Chapter only discusses the printer colour managem ent system.
Colour matching > 43 P RINTER COLOUR MANAGEMENT I NTRODUCTION Your printer has two separate colour management systems – Office Colour and Graphic Pro. > Office Colour (3a) –“Office colour” on page 45 > This is a simpler colour management system designed for ease of use.
Colour matching > 44 A BOUT RGB AND CMYK COLOUR Some application programs give you the choice to create and edit documents using either RGB colour or CMYK colour. Typically, only professional graphics and desktop publishing software support CMYK colour.
Colour matching > 45 O FFICE COLOUR This section describes the features in the printer driver for “Office Colour” printer colour management. There are two different sets of options in Office Colour: Although the Office Colour options contain controls for CMYK data, it is strongly recommended that you use the Graphic Pro options instead.
Colour matching > 46 O FFICE COLOUR - RG B OPTI ONS Office Colour provides a collection of several different colour matching presets for RGB data. These presets each change the colour of your print in a slightly different way. These RGB colour matching options are available in all printer drivers.
Colour matching > 47 W INDOWS This information applies to the Windows PCL 5c and PostScript drivers. 1. On the printer driver [Colour] tab , select [Office Colour] ( 1 ) and click the [Options] button . 2. Select a preset from [Colour matching options] ( 2 ).

G RAPHIC PRO This section describes the colour matching options available for Graphic Pro. The Graphic Pro colour matching system is based around ICC profiles.
Colour matching > 50 W HAT CAN YOU DO WITH GRAPHIC PRO COLOUR MATCHING ? The Graphic Pro colour matching system is both po werful and flexible. Here are some examples of how the Graphic Pro colour .
Colour matching > 51 Printer (CMYK Output) This profile desc ribes the colour charac teristics of your own printer . The printer already has factory default profiles built-in, but you can replac e these profiles with y our own if required. Link Profile This is a special type of ICC profile that converts dir ectly from CMYK to CMYK.
Colour matching > 52 G RAPHIC PRO WORKFLOW – OVERVIEW There are three steps to using the Graphic Pro colour matching system: 1. Gather or create ICC profiles (see below) 2.
Colour matching > 53 If you know the Printer’s IP address, you can enter it manually. 3. The main screen of Profile Assistant displa ys the profiles resident on the selected printer ’ s hard disk. T o download a new profile to the printer: (a) Click [Add].
Colour matching > 54 S TEP 3 - S ELECT ICC PROFILES IN THE PRINTER DRIVER What you select in the printer driver depends on the colour matching task that you wish to perform. Examples of selecting I CC profile s for different colour matching tasks are shown in the next se ctions of this guide.
Colour matching > 55 W INDOWS This information applies to the Windows PCL 5c, PCL 6 and PostScript drivers. To match the colour of an inpu t RGB device such as a monitor, scanner or digital camera, make the following selections in the printer driver: 1.
Colour matching > 56 4. Select a Printer Output Profile (4) . If [Auto] is selected, the factory defau lt profiles that are embedded in the printer will be used. If you have created a printer profile yourself using profile creation software , select it here.
Colour matching > 57 6. From the [F eature Sets] menu (5) , select [Colour - Graphic Pro 1]. 7. From the [Colour Matching T ask] menu (6) , select [ICC Profile Colour Matching]. 8. From the [F eature Sets] menu (7) , select [Colour - Graphic Pro 2].
Colour matching > 58 9. From the [RGB Profile source] (8) , select the ICC profile that corresponds to the device you are trying to match such as your monitor , scanner or digital camera. Remember that the names “RGB Source 1”, “RGB Source 2” and so on relate to the number assigned to the profile using Profile Assistant.
Colour matching > 59 S IMULATI NG ANOTHER PRINTER - RG B SOURCE DATA The Graphic Pro colour matching system can be used to simulate the colour output of another printer.
Colour matching > 60 W INDOWS If you are using a source RGB document, simulate the output of another printer by making the following selections in the printer driver: 1. On the printer driver [Colour] tab , select [Graphic Pro] (1) and click [Options].
Colour matching > 61 6. This profile corresponds to the printer you want to simulate. 7. If you wish to produce black and grey colours that are printed using only black toner , enable the [Preserve Black] option. Although this produces a better quality print, the black and grey colours will not be simulated accurately .
Colour matching > 62 6. From the [F eature Sets] menu (5) , select [Colour – Graphic Pro 1]. 7. From the [Colour Matching T ask] menu (6) , select [Printer Simulation]. If you wish to produce black and grey colours th at are printed using only black toner, enable the [Preserve Black] option.
Colour matching > 63 profile using Profile Assistant. See “Using Profile Assistant” on page 52. 10. From the [Simulation T arge t Profile] menu (9) , select the profile of the device you wish to simulate.
Colour matching > 64 CMYK INK SIMULATIONS - CMYK SOURCE DATA The ICC-based colour matching system can be used to simulate the output on commercial printing presses.
Colour matching > 65 W INDOWS If you ar e us ing a sour ce CMYK d o cument, use the following printer driver settings to perform a CMYK Ink Simulation: 1. On the printer driver [Colour] tab , select [Graphic Pro] (1) and click [Options]. 2. Select [ICC Profile Colour Matching] (2) .
Colour matching > 66 disabled, the grey components may be printed using a mixture of CMYK toner, instead of just K (black) toner. 4. Select a Printer Output Profile (4) . If [Auto] is selected, the factory defau lt profiles that are embedded in the printer will be used.
Colour matching > 67 6. From the [F eature Sets] menu (5) , select [Colour – Graphic Pro 1]. 7. From the [Colour Matching T ask] menu (6) , select [ICC Profile Colour Matching]. Use the [Preserve Black] option to keep the original grey component (K channel) information.
Colour matching > 68 11. From the [F eature Sets] menu, select [Colour – Gr aphic Pro 3 ] (10) . 12. From the [Printer Output Profile] menu (11) , select your printer profile. If [Auto] is selected, the factory defau lt profiles that are embedded in the printer will be used.
Colour matching > 69 R ELATIVE COLORIMETRIC This option is best for printing solid colours and tints. Use Relative Colorimetric when printing fr om a drawing program such as Adobe Illustrator, or Macromedia Freehand.
Colour matching > 70 P URE BLACK TEX T / GRAPHICS When your document is printed, often the pure black colours will not be printed using 100% black toner. Instead, these pure black colours are sometimes converted and printed using a mixture of CMYK toner.
Colour matching > 71 P RINTER DRIVER SETTINGS FOR ICC PROFI LE CREATIO N OR NO COLOUR MATCHING If you are creating ICC profiles using third-party software, select [Disable Colour Matching for ICC Profile Creation]. This option switches off all printer colour ma nage ment and also pr events the printer from restricting toner layer thickness.
Colour matching > 72 M AC OS X 1. Choose [File] → [Print]. 2. From the [Printer] menu (1) , select your printer model. 3. Select [Printer F eatures] (2) . 4. From the [F eature Sets] menu (3) , select [Colour Options]. 5. From the [Colour Mode] menu (4) , select [Gr aphic Pro].
Colour matching > 73 F INISHING OPTI ONS Your printer offers a wide selection of document finishing options that help you to control the f inal for m of your printed document. Depending on the hardware fitted, either as optional upgrade s or included as standard and on which model you have, your system can offer a number of choices.
Colour matching > 74 Since this feature prints on both sides of the page, it requires a duplex unit to be installed in the p rinter, and 256MB of a dditional memory (512MB in total). When using the PostScript drive r, if you plan to print a long document, more than about 16 pages, consider printing it in sections of 8 or 16 at a time.
Colour matching > 75 W IND OWS P OST S CRIPT (Windows 2 000/XP/Server 2003 only) 1. In the driver’ s [Layout] tab , choose [Booklet] from the [P ages P er Sheet] d rop-down list. 2. Check that the duplex option is set to [Flip on Sho rt Edge]. NOTE: If the Booklet choice is not shown, check that th e Duplex option is enabled in the driver.
Colour matching > 76 W IND OWS PCL 1. In the driver’ s [Setup] tab, recall an y saved [driver settings] you may wish to use. 2. Choose [Booklet] from the [Finishing Mode] drop-down list, then click [Options].
Colour matching > 77 C OLLAT ING This feature allows multiple copies of a multi-page document to be printed with the pages of each copy in sequence. Uncollated pages print like this Collated pages print like this Application collate —Some application programs have a collate feature in their print options.
Colour matching > 78 W IND OWS 1. If using the PCL driver , on the [Setup] tab first choose any saved [driver settings] that you wish to use. See “R ecalling saved driv er settings” on page 31. 2. In the [Job Options] tab, choose how man y [copies] you want to print from the scrolling list.
Colour matching > 79 The [Collate] option in the [Cop ies & Pages] dialogue is for application collate. See “Collating” on page 77. 4. Enter the number of [copies] (3) you wish to print. 5. Select [Printer F eatures] (4) . 6. From the [F eature Sets] menu (5) , select [Job Options].
Colour matching > 80 C OLOUR SEPA RAT ION The colour separation feature prints each of four primary colours as separate greyscale images. This is a proofing facility that indicates the relative densities of each of the four toner colours in your print document.
Colour matching > 81 M AC OS X 1. Choose [File] → [Print]. 2. From the printer menu (1) , select your printer model. 3. Select [Printer F eatures] (2) . 4. From the [F eature Sets] menu (3) , select [Colour Options] 5. From the [Separations] menu (4) , select the separ ations you wish to print.
Colour matching > 82 S EPARATING QUEU ED PRINT JOBS When you share a printer with other users it can be useful to print a special page between print jobs to help locate each user’s job in a paper stack at the printer. In Windows this page is called a “separator page”.
Colour matching > 83 M AC OS X COVER PAGE The cover page is accessed from your application’s print dialogue. 1. Choose [File] → [Print]. 2. From the [Printer] menu (1) , select your printer model. 3. Select [Cover P age] (2) . 4. Select the required options for the cov er page (3) .
Colour matching > 84 C OVER PRINT Cover print is when the first page (cover) of a print job is fed from one paper tray, and the remaining pages of the print jo b are fed from another paper tray. This feature is not available in the Windows PostScript Drivers.
Colour matching > 85 M AC OS X 1. Choose [File] → [Print]. 2. From the [Printer] menu (1) , select your printer model. 3. Select [P aper Feed] (2) . 4. Select the tra ys or paper types you wish to use for the first page and remaining pag es (3 & 4) .
Colour matching > 86 C USTOM PAGE SIZE This feature enables printing on non-standard sized print m edia. The multipurpose tray is used for feeding non-standard media sizes. Print media width can be from approximately 76mm to 328mm, and its length can be from 90mm to 1200mm.
Colour matching > 87 3. In the P ostScript Custom P age Siz e Definition window , Choose your [paper feed direction] from the drop-down list. The available choices are: Notice that the size ranges available swap places when you change the paper feed direction between a portrait and a landscape choice.
Colour matching > 88 7. In the driver’s window , choose the [Multipurpose T ray] as the [P aper Source]. W IND OWS PCL 1. In the driver’ s [Setup] tab, select any previously sav ed settings you wish to use. 2. Click the [P aper F eed Options] button.

Colour matching > 90 D UPLEX ( DOUBLE - SIDED ) PRINTING If your printer has a duplex unit installed you can print on both sides of the paper, to save paper, weight, bulk and cost. > Only paper can be used for duplex printing, not transparencies or oth er media.
Colour matching > 91 W IND OWS PCL 1. In the driver’ s Setup tab, under [2-Sided Printing], select the binding edge you want. For portrait (tall) page layout the usual choice is [Long Edge]. For landscape (w ide) pa ge layout the usual choice is [Short Edge].
Colour matching > 92 4. From the [T wo Sided Printing] options (3) , select either [Long Edge Binding] or [Short Edge Binding]. Which choice you make will usually depend on whether your page format is portrait (tall) or landscape (wide), and how you plan to turn the paper over to read the second side.
Colour matching > 93 P RINTING MULT IPLE PAGES ON ONE SHEET (N- UP ) This feature scales the page size of your document for printing and reproduces several pages per sheet. This is useful when you sim ply want to proof your page layout, or distribute your document in a more compact format.
Colour matching > 94 W IND OWS PCL 1. In the driver’ s Layout tab (Windows XP) or Setup tab (Windows 98), choose the number of pages (“N-up”) y ou want to print on each sheet. 1-up is normal, 16-up is maximum. 2. Click [Options] to choose from the a vailable options for this feature.
Colour matching > 95 2. From the [Printer] menu (1) , select your printer model. 3. Select [Lay out] (2) . 4. From the [P ages per Sheet] menu (3) , select the number of pages you w ant to fit onto a single sheet of paper . 5. If required, change the direction (4) the document pages are laid o ut on each sheet o f paper .
Colour matching > 96 P OSTER PRINTING This option allows you to print posters by dividing a single document page into multiple pi eces (sometimes called “tiles”). Each piece prints, enlarged, on a separate sheet. Then, you combine the separate sheets to create a poster.
Colour matching > 97 S CALE TO PAGE Scale to Page allows you to print data formatted for one size page onto a different size page, without modifying the print data. This feature is only available with the Windows PCL drivers. 1. In the driver’ s Setup tab , click the [Options] bu tton.
Colour matching > 98 W ATER MARKS A watermark is typically faint text that is superimposed on a printed document. This can used to indicate that the document is “Draft”, or perhaps “Confidential”. This feature is not available on Mac OS X .
Colour matching > 99 To create a new watermark 1. In the W atermarks window, click [New…]. 2. Enter the text you w ant for your watermark. 3. Adjust your w atermark’ s font, size, colour , angle, position and border (trim) as required . 4. Click [OK] to accept your changes.
Menu functions> 100 M ENU FUNCTIONS This sections lists the menus accessed via the controls on the printer’s operator panel and displayed in the LCD window. It should be noted that many of these settings can be, and often are, overridden by s ettings in the Windows printer drivers.
