Getting the printer ready to fax Choosing a fax connection You can connect the printer with equ ipme nt such as a tele phone, an a nswe ring machine, or a comp uter modem.
Connecting directly to a telephone wall jack Connect the printer directly to a telephone wa ll jack to make copies or se nd and receive faxes without using a computer. 1 Make sure you have a telephone cord an d a telephone wa ll jack. 2 Connect one end of the telephone cord into the LINE port of the printer.
3 Remove the protective plug from the EXT port of the printer. LINE LINE E XT EXT L IN E LINE EX T EXT 4 Connect the other te lephone cord to a telephone, and then plug it into the EXT port of the printer.
2 Connect one telep hone cord into the LINE po rt of the prin ter , and then plug it in to an active teleph one wall jack. Using the Scanning & Copying tab Use the Scanning & Copying tab to perform scanning and copy ing tasks, to select a task from Productivity Tools, or to preview an image. From this section You can Scan • Select a program to send a scanned image to.
Using the Saved Images tab Use the Saved Imag es tab to perform ta sks with images that are saved on th e computer. From this section You can Preview • Show or create folder s. • Preview and select images. • Rename, delete, or ed it selected images.
• View the software version and copy right information • Display the Fa x Setup Utility Using the Solution Center The Solution Center provid es help , as well as information about th e printer status and ink levels. There are two ways of opening the Solution Center.

Using the Print Properties tabs All of the print settings are on the three main tabs of th e Print Properties so ftware: Quality/Copies, Paper Setup , and Print Layout. Tab Options Quality/Copies • Select a Quality/Speed setting . • Select a Paper Type.
From this section You can Image Adjust • Adjust the color de p th. • Adjust the color balance. • Colorize the image. • Colorize the imag e to sepia tone s. • Adjust the Brightness/Contrast. • Adjust the blur. • Adjust the sharpness. • Despeckle (blur) the image to remove dust and scratches.
Loading paper and original documents Loading paper 1 Make sure: • You use paper designed for inkjet printers. • The paper is not u sed or damaged. • If you are u sing specialty pap er, you follo w the instructions that came with it. • You do not force paper into the p rinter.
6 Extend the pape r exit tray stop to catch the paper as it exits. Loading various paper types Load up to Make sure 100 sheets of plai n paper The paper gui des rest against the left, rig ht, and bottom edges of the paper.
Load up to Make sure 10 envelopes • You do not load en velopes with holes, perfo rations, cutouts, deep embossing, metal clasps, metal folding ba rs, string ties, or exposed adhesive flaps into the printer. • The print side of the envelope s faces down with the flap to the left as shown.
Load up to Make sure 100 sheets of custom size paper • The print side of the paper faces down. • The paper si ze fits within these dimensio ns: Width: – 76–216 mm – 3.0–8.5 inches Length: – 127–432 mm – 5.0–17.0 inches • The paper gui des rest against the left, rig ht, and bottom edges of the paper.
Load up to Make sure 20 sheets of bann er paper • You remove all th e paper from the pa per tray before loading th e banner paper. • You tear off only the number of p ages needed to pri nt the banner. • The print side of the banner faces down into the paper tray with the first page of the banner on to p.
ADF paper capacity Load up to Make sure 50 sheets of: • Letter paper • A4 paper • Legal size paper • The document is load ed te xt side u p. • The paper guide is against the edge of the paper.
3 Place the original document face down on the scanner glass in the upper left corner. Note: Photos shou ld be loaded as sho w n. 4 Close the top cover to avoid dark edges on the scanned image.
Printing Printing a document 1 Load paper. 2 With a documen t open, click File Print . 3 Click Properties , Preferences , Op tions , or Setup . 4 Adjust the settings.
Printing transparencies 1 Load transparencies. 2 With a documen t open, click File Print . 3 Click OK or Print . Note: To prevent smudging, remove each tran sparency as it exits, and let it dry be fo re stacking. Transparencies may require up to 15 minute s to dry .
4 From the Print Layo ut tab, select N-up . 5 Select the numbe r of pages to prin t on each page. 6 If you want each pa ge image to be surrounde d by a border, select Print Page Borders . 7 Click OK . 8 Click OK or Print . Printing cards 1 Load greeting card s, inde x cards, or postcards.

Scanning text for editing Use the Optical Ch aracter Recogn ition (OCR) softwar e feature to turn scanned images into text you can ed it with a word-processing application. 1 Make sure: • The printer is connect ed to a computer, and b ot h th e prin te r an d t he computer are on .
4 Click Scan . 5 Click Displa y Advanced Scan Settings . 6 Select the Image Patterns tab. 7 Select the Remove image patterns from magazin e/newspaper (des creen) check box. 8 From the “What is being scanned?” men u, select Magazine or Newspape r .

3 Press . 4 If you wa nt to send a fax to a gr oup of numb ers (broadca st fax), repeat step 2 and st ep 3, us ing any c ombination of the above methods, until a maximum of 3 0 fax numbers have been entered. Sending a fax using the control panel 1 Make sure the printer is on.
Sending a broadcast fax at a scheduled time You can send a fax to a combin ation of up to 30 peo ple or groups at a time you choose. 1 Load an original document faceup into the ADF or facedown on the scanner glass. Note: Do not load postcards, photos, small items, or thin media (such as magazine clippings) int o the AD F.
5 Enter a fax number; press Quick Dial 1 , 2 , 3 , 4 , or 5 ; or press Phone Book to select a number from the Speed Dial or Group Dia l list. For more i nformat ion , see “Entering a fax number” on page 50. Note: Press the keypad numbers to use an automated an swering system.
Forwarding faxes Use the fax forwarding feature if you ar e going to be away, but still want to re ceive your faxes. There are three fax forwarding s ettings : • Off —(Default). • Forward —The printer sends the fax to the designated fax nu mber.
Setting up Quick Dial buttons and Speed Dial numbers Setting up Quick Dial buttons using the control panel 1 From the control panel, pr ess Fax Mode . 2 Enter a fax number. Notes: • You can include a calling card numb er as part of the fax num ber. • Enter a maximum of 64 digits in a fax nu mber.

Using the Phone Book The Phone Book is a directory of Spee d Dial en tries (1–89) and Group Dial entries (90-99). To access a Phone Bo ok entry: 1 From the control panel, pr ess Phone Book .
4 Press . 5 Press or repeatedly until Dial Pre fix appears. 6 Press . 7 To change the setti ng, press or repeatedly until Create appears. 8 Press . 9 Enter the prefix to be dialed before e ach telephone number.
Setting up to fax while behind a PBX If the printer is being used in a business or office, it may be connected to a Private Branch Exchange (PBX) telephone system. Ordinarily, when dialing a fax nu mber, the printer waits to recognize t he dial tone and then dials the fax number.
3 Click Manage fax histo r y or All-In-On e f ax settings . 4 Click each tab , and change the settings as nee ded. On this tab You can Send • Enter your name and fax number. Notes: – You can include a calling card numb er as part of the fax number.
On this tab You can Receive • Choose wh ether to print a footer (the date, time, and page number) to appear on each page you receive. • Automatic ally re duce an in coming fax t o fit to the paper size loaded , or print it on two sheets of paper. • Select whether you want to forward a fax, or p rint it and then fo rward it.

6 Press . 7 Press or until Block appears. 8 Press to save this set t ing. Blocking junk faxes If you have C aller ID, you can blo ck faxes sent from spe cific numbers and/or all faxes which do n ot include a Caller ID number. 1 From the control panel, pr ess Fax Mode .
Working with photos Printing borderless photos Printing photos stored on the co mputer using the Producti vity Suite 1 Load photo pa pe r. For best results, use pho to or glossy pape r wit h th e g lossy or coated side fa cin g down. 2 From the desktop, double-click the Productivity Suite icon.
Using a PictBridge-enabled digita l camera to control printing photos Connect a PictBridg e-enabled digital camera to the printer, and use the bu ttons on the camera to select and print photos. 1 Insert one end of th e U SB cable into the came ra . Note: Use only the USB cable that came with the digital camera.
10 Drag the pho t os onto the page. Note: Right-click the photo on the page for editing op tions. 11 Click Print Now . Note: To prevent smudging, remove each page as it exits, and let it dry before stacking. Adding text caption s to a photo page 1 Load paper.
Networking the printer Installing a network printer allows users at different workstations to print to a common printe r. Methods of setting up a network printer include: • sharing a printer that is.
Direct IP printing 1 Connect the printer to an external print server using a USB cable. 2 Connect the print sever to the ne twork usin g an Ethernet cable. Note: You may be connecting your p rinter directly into a wall connection or through a router. For more information, see the p rint server documentation.
Finding a printer/print server located on remote subnets The printer softwar e CD can automatically find the printers that are located on the same network as the computer. If the printe r and print server are located o n another net wor k (called a subnet), you must manually enter an IP address during printer softwa re installation.
Maintaining the printer Changing print cartridges Removing a used print cartridge 1 Make sure the printer is on. 2 Lift the scanner uni t. The print cartridge carrier mo ves and stops at the loadin g position, unless the printe r is busy. 3 Press down on the leve r to raise the cartridge lid .
Installing print cartridges 1 If you are install ing new print cartridges, remove the st icker and tape from the ba ck and bottom of the cartridges. 1 2 Warning: Do not touch the gold contact area on the back o r the metal nozzles on the bo ttom of the cartridges.
5 Close the scanne r unit, making sure to keep you r hands out from unde rneath the scanner unit. The control panel d isplay will prom pt you to print an a lignment page. For more info rmation, see “Aligning print cartridges” on page 71. Note: The scanner unit must be clo sed to star t a new scan, print, copy, or fax job.

4 Using another clean section of the cloth, gently hold th e cloth against the contacts for about three se conds, and then wipe in the d irection shown. 5 With another clean sectio n of the cloth, re peat step 3 and step 4. 6 Let the nozzles and contacts dry completely.

Power button is not lit 1 Disconnect the p ower supply cord from the wa ll outlet, and then from the printer. 2 Plug the cord all the way into th e power supply port on the printer. 3 Plug the cord into an ele c tr ical outlet that other electrical device s have been using.
1 Turn off and then r est art your comput er. 2 Click Cance l on all New H ardwa re Found screens. 3 Insert the CD, and then fol low the instructions on the comp uter screen to re install the software. 1 Press Power to turn the prin ter off. 2 Disconnect t he po we r supply cord from the w all outlet.

Poor text and graphic quality Examples of poor text an d graphic quality include: • Blank pages • Dark pri nt • Faded print • Incorrect colors • Light and dark band s in print • Skewed lines • Smudges • Streaks • White lines in print Check the ink levels, an d install a new print cartridge if necessary.
Poor quality at th e edges of the page Unless you are using th e borderless feature, u se these minimum prin t margin settings: • Left and r ight margins: – 6.35 mm (0.25 i n.) for letter size pap e r – 3.37 mm (0.133 in.) for all paper sizes except lette r • Top margin: 1.

9 Resend the fax. 10 If the problem persists, repeat step 1 through step 9 to re send the fax at success ively lower transmission speeds. Note: 2400 bps is the lowest transmission speed. Notes: • The lower the transmission spee d, the longer it wil l take your fax to print.
1 Check the Ethernet cable for any obvi ous damage. 2 Firmly plug o ne end of the Ethern et cable into the printer. 3 Firmly plug the other end of the Ethe rnet cable into th e network hub or wall connection. If you are also usin g a USB cable: 1 Check the USB cable for any ob vious damage.
3 Close the ADF. 4 Press . Paper or specialty media misfeeds If paper or specia lty media misfeeds o r skews, or multiple sheets feed or st ick together, try the following solutions.
Banner paper jams 1 Press Power to turn off the printer. 2 Remove the jammed bann e r pa pe r fr om th e p rinter. To keep a bann er print job from jamming: • Use only the number o f sheets needed for the banner.
5 Reinsert the print cartridge. 6 If the error: • Does not reappear, the prob lem has been corrected. • Reappears, replace the print cartridge with a new one. Cartridge Error This includes the following cartridge errors: • 1203 • 1204 • 120F Procedure 1 1 Remove the print cartridges.
3 Make sure the cartridg e lids are closed. 4 Close the scanne r unit. 5 Press . 1 Press Power to turn the prin ter off. 2 Disconnect t he po we r supply cord from the w all outlet. 3 Raise the scanne r unit. 4 Remove both prin t cartridges. For more information, see “Removing a used print ca rtridge” on page 69.
3 Reinstall the color cartri dge in the right carrier. Alignment Problem 1 Remove the print cartridges. 2 Make sure the sticker and tape have been removed. 1 2 3 Reinsert the print cartridges. 4 Press to align the cartridges. Load only plain, unmarked p aper for aligning cartridges.
If the telephon e line is being used by another d evice, wait until the othe r device is finished before sending the fax. Make sure the printer is d etecting a dial tone. • See “Sending a fax whil e listening to a call (On Hook Dial)” on page 52.
