Descript ion Dialog 4422 IP Office 12 T ones and signals The following differ ent tones an d signals are sent from the telephone system to your phone. T one character istics The tones shown in this sectio n are the most used tones worldwide. Many markets use a di ffering tone for one or more situations.
13 Dialog 4422 IP Office Descriptio n Ring signals Three dif ferent ring signals info rm you about the t ype of the incoming call. The sign als shown in this sect ion are the most used signals worldwide. Many markets use signals that are adapted for the local standards.
Descript ion Dialog 4422 IP Office 14 Display information The display gives you f eedback information such as time and date, traffic state and connected phon e numbers. The following pages show examples of information displays from dif ferent telephone states.

17 Dialog 4422 IP Office Descriptio n O utgoing call When you make an outgoing call on your phone, the display shows the traffic information and the dialed name (if available) and number . When the dialed number is busy , the di splay will look like th is.
Descript ion Dialog 4422 IP Office 18 Incoming call When you receive an incoming cal l, the display shows the calling party’ s name (if available) and number . The name and number are flashing. If the number for an exte r nal call is not available, the display shows External instead of the number .

21 Dialog 4422 IP Office Start the Phone – Log On/Of f LAN access control (network authentication) (Dialog 4422 v . 2 phone only). Y our telephone might requir e a network authentication to gain access to the netwo rk. In this case you must enter a valid use r identity an d password.

23 Dialog 4422 IP Office Start the Phone – Log On/Of f Update software If new so ftware has to be loaded into your ph one, the displa y is showing this. When ne w application software is available, the following display is shown: The x indicates a timer co unting down from 60 seconds.
Start the Phone – Log On/Off Dialog 4422 IP Office 24 Log on If your phone requir es a log on , there are thr ee log on options: 1 Y ou are allowed to log on and log off the phone. This is the most common option. 2 The telephone is always logg ed on with a default number .
25 Dialog 4422 IP Office Start the Phone – Log On/Of f If the displayed number is not yours ( the telephone has been logged on by another person): z Dial your ex tension number . The displayed number is automa tically erased when you sta rt dialing.

27 Dialog 4422 IP Office Start the Phone – Log On/Of f Entering letters and numbers Y ou can see t he most common letters above each key on the phone. T o get the letter A pr ess key 2 once, for B press key 2 twice, to get C press key 2 three times, and so on.

When your phone is logged off The log on menu, with the text For SOS calls, dial 112 is displayed: z Dial the SOS numbe r . Y our phone is automatically logged on to make the SOS call.

Outgoing Calls Dialog 4422 IP Office 38 Redial calls fr om the Call List T o use the Call List , see section “ Call List ” on page 44. Call List Ô Pr ess to access the Call List . If you have new missed calls in the Call List , the key flashes until you press it.
39 Dialog 4422 IP Office Outgoing Calls When you r eceive a busy tone If you call an extension and receive a busy tone, or get no answer , or all exter nal lines are busy , you can use any of the following methods: Callback If a called extension is busy or there is no answer: 6 Pr ess.
Outgoing Calls Dialog 4422 IP Office 40 Cancel any single Callbac k #37* z # Dial, enter the extension num ber and press. Note: T o cancel a single Callback on a specific external line, dial the digit or digits to get a line instead of the extension number .
41 Dialog 4422 IP Office Outgoing Calls Intrusion on a busy extension Y ou can intrude on an ongoing call on a busy extension. 4 Pr ess. Before the intrusion is executed, a war ning tone is sent to the parties in the ongoing call. A three party call is established and a warning to ne is heard.
Outgoing Calls Dialog 4422 IP Office 42 Bypass If this feature is allowed fr om your extension, you can bypass an; activated Diversion, activated Follow-me or activated Absence Information on a specific extension. u Lift the handset. *60* z # Dial, enter the extension num ber and press.
43 Dialog 4422 IP Office Outgoing Calls Dial b y Contac ts (Dialog 4422 v . 2 phone only). With this feature you can make a call using the contacts stored in your phone. Notes: If you want to add, change or delete numbers and names in Contacts, you can do this via the Web interface, see section “ We b Se r v e r ” on pa ge 94 .
Call Lis t Dialog 4422 IP Office 44 Call List The phone stores a Call List with 50 phone numbers that includes missed calls (if supported by the network) , incoming calls, outgoing calls and answered calls. Note: The list is cleared if a po wer failure occurs, if another user (extension number) logs on to the same phone or if you reset the phone.

During Calls Dialog 4422 IP Office 48 Inquiry Y ou ha ve a voice connection on Line 1 and want to make an Inquiry to an inter nal or extern al party . Ô Inquiry Press. The f irst ca ll is p ut on ho ld (Line 1 flashes slowly). Note: Y ou can also press Line 2.
49 Dialog 4422 IP Office During Calls T ransfer Y ou have an ongoing ca ll and you want to transfer t he call to another extension. Ô T ran sfer Pres s. Note: Y ou can also press Inquiry or a free Line key . z Call the third party . Ô T ran sfer Press before or after answer .
During Calls Dialog 4422 IP Office 50 Confer ence With this procedur e you can include up to seven parties in a conference. Only the confer ence lead er (the p erson initi ating the conference) can admit participants. The conference tone will be heard every 15 seconds during the conference.
51 Dialog 4422 IP Office Call For wardi ng Call Forwar ding Inter nal Follow-me All calls to your extension are diverted to another extension of your choice (within the priva te networ k). The Follow-me lamp indicates that you have activated Follow-m e.
Call Fo rwardi ng Dialog 4422 IP Office 52 Redirect from answering position If you move fr om one answering position to another answering position, you c an redir ect Follo w- me from that new position. Note: Internal Follow-me must be ordered from your own extension before you can redir ect from answering position.
53 Dialog 4422 IP Office Call For wardi ng External Follow-me If external Follow- me is allowed, you can h ave all call s to your extension diverted to an exter nal number of your choice. The Follow-me lamp indicates that you have activated Follow-me.

Call Fo rwardi ng Dialog 4422 IP Office 58 Important notes when design ing your search profiles: • A void ring times longer than 45 seconds for your profiles. Usually the caller hangs up afte r 3-6 ring signals. If you need a longer ring time, the maximum time is 60 sec.

63 Dialog 4422 IP Office Messages Messages Manual Message W aiting (MMW) If the called extension does not answer you can initiate a message waiting indication on that extension (if t his feature is allowed). If there is a message waiting, the Message key lamp is on and you will hear a special dial tone after lifting th e handse t.
Messages Dialog 4422 IP Office 64 Order MMW to another extension In idle mode: *31* z # Dial, enter the extension num ber and press. í Pr ess. The Message Waiting key lights up on the called extension. Cancel MMW to another extension #31* z # Dial, enter the extension num ber and press.
65 Dialog 4422 IP Office Messages V oice Mail (optional) This V oice Mail applicati on allows you to leave a v oice message to the caller when you are unable to answer calls, for example when out of office, in a meeting, and so on. The caller can then leave a message in your mailbox.
Messages Dialog 4422 IP Office 66 T o access your mailbox From your of fice phone: z Dial the number to the V o ice Mail sys tem. Note: When the Message key lamp is on (= a new message is received), you can also press t his key . If you are asked to enter your security code: z Enter y our sec urity code.
67 Dialog 4422 IP Office Messages T o handle the mailbox Recorded information on the line tells you the number of new and stored messages. If you have to o many messages stored, you will first be asked to delete save d messages.
Group Feat ures Dialog 4422 IP Office 68 Gr oup Featur es Gr oup Call-pick-up People workin g in a team ca n ha ve their phones programmed by their system administrator to form Call-pick-up groups. In a Call -pick- up group, any mem b er can answer an y individual call to group members.
69 Dialog 4422 IP Office Group Feat ures Gr oup Hunting An internal Group Hunting number is a common directory number for a group of extensions. Calls to the group will be indicated at a free extension in the group. When you leave the group tempor arily , you make your phone unavailable for incoming calls.
Other Useful Featur es Dialog 4422 IP Office 70 Other Useful Featur es Account Code (optional) This feature is used to charge a call to an account number or to prevent unauthorised calls fr om your phone. The Account Code can have 1 to 15 digits. u Lift the handset.
71 Dialog 4422 IP Office Other Useful Features General Deactivation The following features can be simultaneously cancelled: • Callback (all Callbacks are cancelled) • Inter nal and Extern al Follow-me • Manual Message Waiting/Absence Information Order #001# Dial.
Other Useful Featur es Dialog 4422 IP Office 72 Night Service When the telephone system is in Night Service mode, all your incoming calls to the operator are t ransf err ed to a selec ted extension or group of extensions .
73 Dialog 4422 IP Office Other Useful Features Key Monitoring Note: This feature is only av ailable in newer versions of the telephone system. It is possible to monitor and to answer calls to other extensio ns from a pr og rammable function key on your phone.
Other Useful Featur es Dialog 4422 IP Office 74 DISA = Dir ect Inward System Access (optional) If you are assigned to use this feature and you ar e working externally , you can call your office and get access to an exter nal line in order to make business calls.
75 Dialog 4422 IP Office Settings Settings Pr ogramming of function keys All function keys, except for the T riple Access Line keys, can be used for programming. Note: T o be able to program a function key yourse lf, the system administrator must re move at l east one of the default features as signed to th e func tion keys.

77 Dialog 4422 IP Office Settings Language Y ou can change t he display menu language for your phone. A vailable languages are listed when the language menu is selected.

79 Dialog 4422 IP Office Settings Time pr esentation The time is updated automat ically from the telephone system. Y ou can only change the way the time (format) is presented on the display . The time can be sho wn in 24 or 12 hour clock mode. T o change the time presentation: Setti ngs Ô Pr ess.
Settings Dialog 4422 IP Office 80 Pr ogramming of ring signal tone character There ar e 10 different pr ogrammable ring signal tone characters on your phone, each co rresponding to a digit between 0 and 9. Setti ngs Ô Pr ess. ì Pr ess. Repeat unti l the Ring Character menu is framed.

Settings Dialog 4422 IP Office 82 Option unit (Dialog 4422 v . 2 phone only). If your phone is equipped with an option unit, you can use this menu to select the functi on of the op tion unit. Change the function of the option unit Setti ngs Ô Pr ess.
83 Dialog 4422 IP Office Settings Handset and loudspeaker volume Use the V olume keys to adjust the volume of the ha ndset or loudspeaker during a call. Adjust the handset listening volume when the handset is of f hook. Adjust the loud speaker volume when dial tone is heard via the loud speaker , or during a monitor call.
Settings Dialog 4422 IP Office 84 Ring signal volume Use the V olume keys to adjust t h e ring signal volume when the phone is in idle mode or ringin g. Adjusted volume is stored. ì Pr ess to adjust the v olume. Note: The volume will return to the defau lt level in c ase of a power failure.
85 Dialog 4422 IP Office Settings Change ring signal fo r a Monitoring key The Monitoring keys are pr ogrammed by your system administrator , however you can change the type of ring signal from your phone. See also section “ Key Monitoring ” on page 73.
Settings Dialog 4422 IP Office 86 Network settings In the Ne twork menu you can check all the network settings. These settings can only be change d by your sy stem administrator .
87 Dialog 4422 IP Office Accessories Accessories Key panel (optional) (Dialog 4422 v . 2 phone only). In newer versions of the teleph one system, your phone can be equipped with one additional key panel. The key panel offers 17 additional keys for storing of your most frequently used telephone numbers and featur es.

Also when you dial th e number wit hout lifting the handset, the c all is automatically connected to the loudspea ker .

Add Microso ft Outloo k Contacts Dialog 4422 IP Office 92 Add Micr osoft Outlook Contacts (Dialog 4422 v . 2 phone only). My Dialog 4000 Contacts My Dialog 4000 Contacts is a PC application which you can use when you want to download your Microsoft ® Outlook ® contacts to Contacts in your phone.
93 Dialog 4422 IP Office Add Micro soft Outlook C ontacts Add Microsoft Outlook contacts Start “My Dialog 4000 Contacts” on your PC. Enter your phone num ber , passwo rd and IP address. Web S er ve r Dialog 4422 IP Office 94 W e b Server Y ou can access your IP phone from a PC web br owser to edit the telephone data. The availab le data depends on which telep hone version (Dialog 4422 v . 1 phone or D ialog 4422 v . 2 phone) you are using.
