Label Name and Descript ion 5 Wireless light : The light is on when the wireless radio is on (some models only). 6 Cancel : Stops a jo b, exits a screen, or exits settings. 7 Right arrow : Navigates through settin gs in the screen s. 8 Back : Touch this to return to the previous screen.
Icon Purpose Displays the Setup screen for generating repor ts, changing fax and other maintenance settings, and accessing the Help screen. The topic that you select from the Help scree n opens a help window on your computer screen. Displays the Network screen for sele cting options.
Change printer setti ngs To change t he printer settings or print rep orts, use the options availab le in the Setup screen: 1. Touch right arrow , and then to uch Setup . 2. Touch the arrow s to scroll through t he screens. 3. Touch the screen item s to select screens or options.

HP Advanced Photo Paper This thick photo paper features an instant-dry finish for easy handling without smudging. It resists water, smears, fingerprints, and humidity. Your prints have a look and feel comp arable to a stor e processed photo. It is available in several sizes, including A4, 8.
To order HP pape rs and other supplies, go to w ww.hp. com/buy/su pplies. If prompted, select your country/region, follow the prompt s to select your prin ter, and then click one of the shoppi ng links on the page. NOTE: At this time, so me portions of the H P Web site are available in English only.
3. Close the li d. Load an original in the auto matic document feeder (ADF) You can copy, scan, or fa x a one-sided, si ngle- or multiple-page, A4- or Letter-siz e document by plac ing it in the auto matic document feeder tray. CAUTION: Do not load ph otos in the ADF; this might cause dama ge to your photos.
2. Slide the width g uides inward until they stop a t the left and right edges of t he media. NOTE: Remove all or iginals from th e document feeder tray before l i fting the l id on the printer. Load media This section provides i n structions fo r loading media into the printe r.
3. Insert the media prin t-side down along the right of t he main tray. Make su re the media aligns with the right a nd back edges of the tray and does not e x ceed the line marking in the tray .
Load envelo pes To load envel opes Use these instru ctions to load an envelope 1. Lift the output tray. 2. Slide the paper w idth guide out as far as possibl e. 3. Load envelopes according to the graphic. Make sure the stac k of envel opes does not exceed the lin e marking in the tray.
3. Insert the media prin t-side down along the right of t he main tray. Make su re the media aligns with the right a nd back edges of the tray and does not e x ceed the line marking in the tray. If the photo paper has a tab along one edge, make sure the tab is pointing towards the fron t of the printer.
Load cust om-size me dia To load c a rds and p hoto paper Use these instructio ns to load custom-size media. CAUTION: Use only custom-size medi a that is supported by the prin ter. For more information , see Media specifications. 1. Lift the output tray.
Install the accessories (some models only) This section cont ains the following topics: • Install the duplexe r • Turn on accessories in the printer driver Install the duplexer You can print on both sides of a sheet of paper automati cally. For information on using the duplexer, see Print on both sid es (duplexing).
Maintain the printer This section provides i nstructions fo r keeping the printer in top worki ng condition. Perform these m aintenance procedures as necessary.
Use a soft, damp, lint-f ree cloth to wipe dust, smudges, and stains off of t he case. The exterior of the p rinter does not require cleani ng. Keep fluids away from th e interior of the printer, as w ell as from the printer contro l panel.
To clean the plasti c strip ins ide the au tomatic docu ment feed er Use these instructio ns to clean the plastic strip inside th e ADF. 1. Turn off the p r inter and unplug t he power cord. For more information, see Turn off the printer. NOTE: Depending ho w long the printer is unpl ugged, the da te and time mi ght be erased.
5. Clean the plas tic strip with a soft cloth or sponge slig htly moistened with a nonabrasive glass cleaner. CAUTION: Do not use abrasives, aceto ne, benzene, or carbon tetrach loride on the plastic st rip, since they can damage it. Do not place or spray liquid directly on the plastic stri p.
2P r i n t Most print setting s are automatically handled by the software a pplication. Change the settings manua lly only when you w ant to change print quali ty, print on specific types of paper, or use specia l features. For mo re information about selectin g the best print media for your do cuments, see Select print media.
Print docume nts (Windows) 1. Load paper in the t r ay. For more inf ormation, see Load media. 2. On the F ile menu in your software appli cation, click Print . 3. Make sure the printer you w ant to use is sele cted. 4. To change setting s, click the option that o pens the printer Properties dialog box.
5. Change the paper orientation on the Layout tab , and paper source, media type, paper size, a nd quality settings on t he Paper/Quality ta b. To pri nt in b lack an d white, click the A dvanced tab , and then change the Print in Grayscale opt ion. 6.
6. Click the Paper/Quality tab, and th en select the app ropriate e nvelo pe type f rom the Pape r Size drop-down li st. TIP: You can chan ge more option s for the print job by using t he features available on th e other tabs in the dialog box. 7. Click OK , and th en click Print or OK to begin pri nting.

NOTE: With certain types of paper, you can print on both sides of a sheet of paper (called “two-sided printing” or “duplex printing”). For more i nformation, see Print on both sides (duplexing). Follow the in structions for your operating system.
Print borderle ss documents (Windows) 1. Load paper in the t r ay. For more inf ormation, see Load media. 2. On the F ile menu in your software appli cation, click Print . 3. Make sure the printer you w ant to use is sele cted. 4. To change setting s, click the option that o pens the printer Properties dialog box.
Follow the instruction s on the printer’s contro l panel to enable and set up the print er’s Web Services. For m ore information, see www.hp.com/go/ePrintCenter. Print on both sides (duplexing) You can print on both sides of a sheet of media eith er manually or autom atically, by using the duplexer .
3. With a documen t open, click Print on the File menu, and then se lect Layout and select Print on Both Sides to set the d uplex printing. 4. Change any o ther settings, and then click OK .
3 Scan You can use the printe r’s control panel to scan document s, photos, and other origin als and sen d them to a variety of d estina tions, such as a fold er on a comp uter. Yo u can also scan these orig inals from your computer usin g either the HP software provide d with the print e r or TWAIN- compliant or WIA-com pliant programs.
3. Touch Document Type to select the type of document you want to save. Make changes to scan opt ions, if needed. 4. Touch Start Sc an . To scan an origi nal from HP printer softw are 1. Load your original print-side down in the right-fr ont corner of the glass or in the ADF.
Scanning documents as editable text When scanning docum ents, you can use the HP software t o sca n documents into a format that you can search, copy, paste, and edi t. This allows you to edit let ters, newspaper clippin gs, and many other docum ents.
4C o p y You can produce high-quality color and grayscale copies on a variety of paper types and sizes. NOTE: If you are copying a docum ent when a fax arrive s, the fax is stored in the printer' s memory unti l the copy ing fini shes. Thi s can reduc e the numb er of fax pages stored in m emory.
• Lighter/D arker settings • Resizing orig inals to fit on different pa per sizes You can use these set tings for single copy jobs, or you can save settings to be used as defaults for f uture jobs. To change cop y settings for a single job 1. Touch Copy .
5F a x You can use the printe r to send and receive faxes, including colo r faxes. You can schedule faxes to be sen t at a later time and set up speed -dials to send faxes quickly and easily to fre quently used numbe rs.
TIP: You can also send a fax m anually from a phone or by using monitor dia l ing. These feature s allow you to control the pace of your diali n g. They are also usefu l when you want to use a calling card to charge the call and you have to respond to tone prompt s while diali ng.
Mac OS X 1. Open the documen t on your computer that you w ant to fax. 2. From the File menu in your software applicat ion, clic k Print . 3. Make sure the printer you w ant to use is sele cted. TIP: Select the printe r that has “(Fax)” in the name.
4. If the recipient answers the tele phone, you can engage in a conversat ion before sending your fax. NOTE: If a fa x machin e answers t he call, y ou will hear fa x tones fr om the receiving fax machine. Proceed to the next step to transmit t he fax.

To cancel a sc heduled fax 1. Touch the Send F ax Later message on the display. – OR – Touch Fax , and then select Fax Settings . 2. Touch Cance l Scheduled Fax . Send a fax to multiple recipients You can send a fax to multiple re cipients at once by grouping ind ividual speed dial entries into group spe ed dial entries.
Receive a fax You can receive fa xes automati cally or manually. If you turn off the Auto Answer option, you must receive f axes manually. If you turn on the Auto Answer option (t he default sett ing).
4. If you are currently on the phone with the sender, i nstruct the sen der to press Start on their fax machine. 5. When you hear fa x tones from a sendin g fax machine, do the followin g: a . Touch Fax , and then select Start Black or Start Color . b .
NOTE: After the memory become s full, the oldest, printed faxes are overw ritten as new faxes are receiv ed. If all the stored faxes are unp rinted, the print er does not receive any fax calls until you p rint or delete the faxes from me mory. You might also want to delet e the faxes in memory for security or privacy purpo s es.
4. Touch On (Print and Fo rward) to print an d forward the fa x, or select On (Forward) to forward the fax. NOTE: If the printer is not able to forward the fax to t he designated fa x machine (for example , if it is not turned on), the pri nter prints the fax.
Block unwante d fax numbers If you subscribe to a caller ID service throug h your phone provider, you can block specific fax numbers so th e printer does not prin t faxes received from those numbers.
4. Touch Rem ove Numbers . 5. Touch the number you wa nt to remove, and then select OK . Print a Junk Fax R eport Use the foll owing procedure to print a list of blocked junk fa x numbers. To print a Junk Fax Report 1. Touch right arrow , and t hen select Setup .
Activate Fax to PC and Fax to Mac On a computer runn ing Windows, you can use the Di gital Fax Setup Wiza rd to activate Fax to PC. On a Macintosh com puter, you can use the HP Util ity. To set up F ax to PC (Windows) 1. Open the HP prin ter software.
Turn off Fax to PC or Fax to Mac 1. Touch (right arrow), an d then select Setup . 2. Touch Fax Setup , touch Basic Fax Setu p , and then touch Fax to PC . 3. Touch Turn Off . Set up speed-dial entries You can set up frequ ently used fax numbers as speed-dial e ntries.
4. If you want to change the fax number, typ e the ne w number, and then touch Next . NOTE: Be sure to in clude any pauses or o ther requir ed number s, such as an area code, an acce ss code for numbers outside a PBX system (usually a 9 or 0), or a long-dist a nce prefix.
Print a list of speed-dial entries To print a list of al l of the speed-dial entries t hat have been set up, complet e the following ste ps: 1. Load paper in the t r ay. For more inf ormation, see Load media. 2. On the printer’s cont rol panel, touch right arrow , an d then touch Setup .
To set the answer m ode 1. Touch right arrow , and t hen select Setup . 2. Touch Fax Setup , and then select Basic Fax S etup . 3. Touch Auto Answer , and then select On or Off . When Au to Answer is On , the prin ter answer s calls au tomatical ly. When Auto Answer is Off , it does not answer calls.
To change the a nswer ring patte rn for distinctive ring 1. Verify that the printer is set to answe r fax calls automatically. 2. Touch right arrow , and t hen select Setup . 3. Touch Fax Setup , and then select Advanced Fa x Setup 4. Touch Di stinctive Ring .
To set the redial opti ons 1. Touch right arrow , and t hen select Setup . 2. Touch Fax Setup , and then select Advanced Fa x Setup . 3. Touch to select the a p propriate Bu sy Redial or No Answer Redial options.
Fax and digital phone services Many telephone com panies provide their custom ers with digital pho ne services, such as the follow ing: • DSL: A Digital su bscriber line (DSL) service through your t elephone company. (DSL might be call ed ADSL in your country/region.
Use reports You can set up the p rinter to print error reports and conf irmation reports autom atically for each fax you send and receive. You c an also manually print system reports as required; these reports provide useful system information about the printer.
3. Touch Fax C onfirmation . 4. Touch to select o ne of the following op tions. Off Does not print a fax confirmation report when you send and receive faxes successfully. This is the default setting. On (Fax Send) Prints a fax confirmation report for every fax you send.
To clear the fax l og via the printer control panel 1. Touch right arrow , and t hen select Setup . 2. Touch Tool s . 3. Touch down arrow , and then select Cl ear Fax L og . Print the details of th e last fax transaction The Last Fax Transa ction report prints the details of the last fax tran saction to occur.
6W e b The printer offers in novative, Web-enabled solution s that can help you quic kly access the Internet , obtain docum ents, and print them faster and w ith less hassle—and all without using a computer. In addit ion, you can use a Web service (Marketsplash b y HP) to create and pr int professional-qu ality marketing materials.
Marketsplash by HP Grow your business using online HP tools and services to create and print professiona l marketing m aterials. With Marketsplash, you can do the following: • Quickly and e a sily create ama zing, professional-quality brochures, flyers, business cards, and more.
7 Work with ink cartridges To ensure the be st print quality from the printer, you need to perform some simple maintenance procedures. Thi s section provides guidelines f or handling the i nk cartridges, instructions for replacing the ink cartridges, and al igning and cleaning the printhead.
• Handle i nk cartridges carefully. Dro pping, jarring, o r rough handlin g during installation can cause temporary printing pro blems. • If you are tra nsporting the printer, do the f ollowing to prevent ink leaking f rom the printer or othe r damage from occurring to the printe r: ◦ Make sure you turn off the printe r by pressing Power .
NOTE: At this time, so me portions of the H P Web site are available in English only. CAUTION: Wait until you have a ne w ink cartridge available be fore removing the old ink cartridge. D o not leave the in k cartridge outside of the pr inter for an extended period o f time.
5. Twist the orange cap to snap it off. NOTE: Make sure the pla stic tab is entirely removed a nd that the label is slightly to rn, revealing the vent channel . 6. Using the col ored shaped icons for help, slide the ink cartridg e into the empty slot until it clicks into place and is seated firmly in the slot.
Make sure that you insert t he ink cartridge into the slot that has the same shaped icon and color as the o ne you are installing. 7. Repeat step s 3 through 6 for ea ch ink cartridge you are replacin g.

8 Solve a problem The informat ion in this section sug g ests solutions t o common problems. If your printer is not operating co rrectly and those suggesti ons did no t solve your prob lem, try usi ng one of the fo llowing support services to obt ain assistance.
Obtain electronic support To fin d suppor t and warranty informat ion, go to the HP W eb site at www.hp.com/ support. If prompted, choose your country/region, and t hen click Contact HP for informat ion on calling f or technical support.

Someth ing on the page is missing or i ncorrect Check the i nk cartr idges Make sure the corre ct ink cartridge s are installed and the ink cartridges are n ot low on ink.
Solution 1: Load th e stack of envelopes correctly Solution: Load a stack of en velopes in the input tray accordi ng to the image below. Make sure that you re move all paper from the input tray b efore loading th e envelope s. Cause: A stack of en velopes was loaded incorrectly.
The printe r is not respo nding or no thing happ ens when I tr y to print Try the followin g solutions to resolve the issue. Sol utions are liste d in order, with the most likely solution fi rst. If the first solution does not solve the problem, continue trying the remainin g solutions un til the issu e is resolved.
Solution 4: Che ck the printer driv er status Solution: The printer dri ver status might have changed to eit her offline or stop printing . To check the pr inter driver status • Windows : In the HP printer so ftware, click Printer Actions , and then click See What's Pr inting .
If this did not s olve th e issue, tr y the next so lution. Solution 8: Make sur e the prin t carriage can move freely Solution: Unplug the po wer cable if it is not already unp lugged. Ch eck to see if the print carriage move s freely from one side of the printer to the othe r.
Solution 10: Re start the prin ter Solution: 1. Turn off the printe r. Fo r more information, see Turn off the prin ter. 2. Unplug the power co rd. Plug the power cord ba ck in, and t hen press the Power button to turn on the printer. Cause: The p rinter experienced an error.
The margins ar e not printing as expecte d Try the followin g solutions to resolve the issue. Sol utions are liste d in order, with the most likely solution fi rst. If the first solution does not solve the problem, continue trying the remainin g solutions un til the issu e is resolved.

Cause: The size of the docum ent you were printing was l arger than the pa per loaded in th e input tray. If this did not s olve th e issue, tr y the next so lution. Solution 3: Load th e stack of papers correctly Solution: If the paper is misfeed ing, it could cause parts of the do cument to cut off.
Solution 2: Load paper in the in put tray Solution: If the printe r has only a few sheets remaining , load more paper in the input tray. If there is plenty of paper in the input tray, re move the paper, tap the stack of pape r against a flat surface, and reloa d the paper into th e input tray.

Solution 4: Clea n the rollers Solution: Clean the ro llers. Make sure you have the following material s available: • A lint-free cloth , or any soft material t hat will not come apart or leave fi bers. • Distilled , filtered, or bot tled water (tap water might contain contam inants that can damage th e ink cartridges).
Print quality troubleshooting Use this section to solve these print quality probl ems: • Wrong, inaccu rate, or ble eding colors • Ink is not filling the te xt or graphics completely • The print.

Solution 4: Check th e ink levels Solution: Check the estimated ink leve ls in the ink cartridges. NOTE: Ink level alert s and indicators pro vide estimates for planning pu rposes only. When you re ceive a low-ink alert, consider havin g a replacement cartridge available to avoi d possible printing delays.
If this did not s olve th e issue, tr y the next so lution. Solution 7: Clea n the printhead Solution: Check the f ollowin g poten tial prob lems, and then clea n the pri nthead . • Check t he orange pull ta b on the ink cartridges. Make sure they were completely removed.

Always make sure the paper you are printing on is flat. For be st results when printing image s , use HP Adva nced Photo Paper. Store photo med i a in its original packag ing inside a resealable plastic bag on a flat surface in a cool, dry place. When you are rea d y to print, remove only the paper you plan to use imme diately.

Solution 5: Clea n the printhead Solution: Check the f ollowin g poten tial prob lems, and then clea n the pri nthead . After cleaning the printhead , print a print qual ity report. Evaluate the print quality report to se e if the print qua lity prob lem still e xists.
Always make sure the paper you are printing on is flat. For be st results when printing image s , use HP Adva nced Photo Paper. Store specialty me dia in its original packaging i nside a resealable plastic bag on a flat surfa ce in a cool, dry place. Wh en you are ready to print, remove on ly the paper you plan to use imme diately.
If prompt ed, choose your country/reg ion, and then click Contact HP for information on calling for te chnical support. Cause: There w as a problem with the printh ead. Printouts seem blurry or fuzzy Try the followin g solutions if your printout is not sharp or unclear.
If a digital ph oto or rasterized graphic has been resized, it can be blurry or fuzzy when printed. Cause: The im age was printed in a larger si ze. If this did not s olve th e issue, tr y the next so lution. Solution 4: Align the printhead Solution: Align the printhead.
Solution 1: Make su re the paper is loaded cor rectly Solution: Make sure that the pa per is loaded correctly in the input tray. For more information, see: Load m edia Cause: The pa per was not loaded correctly. If this did not s olve th e issue, tr y the next so lution.
Solution 2: Wait while th e ink dries Solution: Wait at least thirty minutes f or the ink inside the printer to dry, then try the print job again. Cause: The excess i n k in the printe r needed to dry out. Poor black text Try the followin g solutions if the text in your prin touts is not sh arp and the edges are rough.
Aligning the p rinter can help ensure excellent prin t quality. For more information, see: Align the pri nthead Cause: The pri nter needed to be aligned. Regular wh ite streaks in the bars If any of the colo r bars show regular w h ite streaks, fol l ow these st eps: White streaks The print quality bars have white streaks in them. 1. If the Print Qua lity Diagnostic report reads PHA TTOE = 0 , align the p rinter.
Large Black Fo nt Text Look at the large-font te xt above the color blocks. I ABCDE FG abcdefg The type should be sharp a nd clear. If the type is jagge d, try aligning the prin ter. If the re are streaks or smears of ink, clean the printhead. Example of good Large-Font Type The letters are sharp and clear - the pr inter is operating correctly.
Examples of a bad alignment pattern The lines are jagged - align the printer. If that does not w ork, contact HP. If you see no defec ts If you do not see any defect s on the print quality report, then the printing system is working correctly.
3. Remove all of the ink cartridges and place them on a pi ece of paper with the ink opening poi nting up. 4. Lift the la tch handle on the print ca rriage.
6. Clean the printhea d. There are three a reas of the printhead that nee d to be cleaned: the plastic ra mps on both sides of the ink nozzles, the edge between the nozzles and th e electrical contacts, an d the electrical contacts.

Media is not coming out corr ectly • Make sure t he output tray e x tender is ful ly extended; ot herwise, printed pages may fall off th e printer. • Remove excess medi a from the output tray. There is a l imit to the numbe r of sheets the tray can hold.
• The printer prints h alf a page, then ejects the paper • Paper mismatch No copy came out • Check the pow er Make sure that th e power cord is securely connected, a nd the printer tu rned on. • Check the status of the printer ◦ The printer might be busy with another job.
Size is reduced • The reduce/en l arge or other copy fe ature might have been set from th e printer control panel to re duce the scanned image. Ch eck the settings for the copy job to make sure tha t they are for normal size. • The HP softw are settings might be set to reduce the scanned image.
• Incomplete ly filled text or graphi cs Try adjusting t he contrast and copy-quality sett ings. • Large, blac k typefaces look splotchy (no t smooth) The default enhancement se tting might not b e suitable for t he job. Check the setting and chang e it to enhance text or photograp hs, if needed.
Scanner did noth ing • Check the origi nal Make sure that th e original is placed on the scanner glass corre ctly. For more informatio n, see Load an original on the scanner glass. • Check the printer The printer might be coming out of PowerSave mode aft e r a period of inacti vity, which delays proc essing a short while .
Part of the do cument did not s can or text is missing • Check the origi nal ◦ Make sure that you loaded the original correctly. For more information, see Load an origi nal on the scanner glass . ◦ If you are copy ing a borderless origin al, load the original on the scann er glass, not the ADF.
◦ The accuracy of the soft ware depends on the image quality, t ext size, and structure of the original and t he quality of the scan itse lf. Make sure that your original has goo d image qu ality. ◦ Colored backg rounds can cause images in the foregrou nd to blend too much.
Graphics look different from the original The grap hics setti ngs might not be suit able for the type of scan job t hat you a re performing. Try changing the graphics settings. Take steps to im prove the scan quality ◦ Use high-qua lity or iginals. ◦ Place the media correctly.
If you are having faxing proble ms, you can print a fax test report to check the status of the printer. The test will fail if t he printer is not set up correctly for f axing. Perform this test after you have comp leted setting up the printe r for faxing.
• Make sure you use the pho ne cord that came wi th the printer. If you do not use the supplied ph one cord to connect from t he telephone wall jack t o the printer, you might n ot be abl e to send or receive f axes. Afte r you plug in the ph one cord that came with the printer, run th e fax test again.

Solution: If Fax to PC or Fax to Mac has been enab led, you may not be able to send or rece ive faxes if th e fax memory is full (limited by prin ter memory). Solution: • Make sure you use d the phone cord supplied in the box w ith the printer to connect to the telephone wall jack.
• The phon e line connection might b e noisy. Phone lines with poor soun d quality (noise) can cause fax ing probl ems. Che ck the soun d qualit y of the ph one line by plugging a phone into the telephone wall jack and liste ning for static or other noise.
• Make sure t he telephone you use to initiat e the fax call is connected direct ly to the printer. To send a fax manua l ly, the telep h one must be conn ected directly to the port la beled 2-EXT on the printer.
• If you have an answeri ng machine on the same phone li ne with the printer, yo u might have one of the following problems: ◦ Your answe ring mach ine might not be set u p correct ly with th e printe r.
The printer cann ot send faxes, but can receive faxes Solution: • The printe r might be dial ing too fast or too soon. You might need to in sert some pauses in the numb er sequence. For example, if you need to access an outside line before dia l ing the phon e number, insert a pa use following the access number.
TIP: If the printer came with a 2-wire pho ne cord adaptor, yo u can use it with a 4-wire phone co rd to extend the length. For in formation on using the 2-wire phone cord adap tor, see the docum entation that came with i t. To extend your pho ne cord 1.
