To change setting s for a mode 1. After selecting a mode, pre ss the arrow buttons to scroll t hrough the available set tings available, an d then press OK to select the settin g you want to change. 2. Press the arrow buttons to ch ange the settings, and the n press OK .
Critical err or messages Critical error messa ges inform you of a device failure. Some of these messages can be cleared by pressing the Power bu tton to turn off the devic e, and then turning it on again. If a critical error persists, service is required.
HP Printing Paper HP Printing Paper is a high-quality multifunction paper. It produ ces documents that look and feel more substantial than documents printed on standard multipurpose or copy paper. It fea tures ColorLok Technology for less smearing, bolder blacks and vivid colors.
Depending on your cou ntry/region, some of th ese papers might not be available. HP Advanced Photo Paper This thick photo paper f eatures an instant-dry finish for easy handling w ithout smudging. It resists water, smears, fingerprints, and humidity. Your prints have a look and feel comparable to a store pr ocessed photo.
◦ Media that is too lightweight or st retches easily ◦ Media that contains staples or cli ps NOTE: To scan, copy, or fax documents that contai n pages that do not conform to these guidelin es, use the scanner glass. For more info rmation, see Load an original on the scanner glass .
You can copy, scan, or fax a one -sided, single- or m ultiple-page, A4- or letter-size document by pl acing it in th e document feed er tray. CAUTION: Do not load photos in the ADF; th is might cause damage to your photos. NOTE: Two-sided le gal-size documents cannot be scanned, copi ed, or faxed using the ADF.
To load medi a 1. Pull out the tray extender. 2. Insert the media prin t-side down along the right of the main t ray. Make sure the stack of media aligns wit h the right and back edges o f the tray, and does not exce ed the line markin g in the tray. NOTE: Do not load pape r while the device is p rinting.
Maintain the device This section provide s instructions for keeping th e device in top working condi tion. Perform these maintenance pro cedures as necessary.
Clean the exterior WARNING! Before clea ning the device , turn off the po wer and unplug the po wer cord from the electrical socket. Use a soft, damp, li nt-free cloth to wipe dust, smudg es, and stains off of the case. T he exterior of the device do es not require cleaning.
4. Use the damp clot h to wipe any residue off the rol lers or separator pad. NOTE: If the residue doe s not come off using distilled wate r, try using isopropyl (rubbing) al cohol. 5. Close the cover of the au tomatic document feeder. To clean the plastic strip inside th e automatic docume nt feeder 1.
4. Lift the auto matic document feeder m echanism. 5. Clean the plastic strip with a soft cloth or spo nge slightly moistene d with a non abrasive glass cleaner. CAUTION: Do not use abrasives, acet one, benzene, or carb on tetrachloride on the plastic strip, since they can damage it.
2P r i n t Most print settings a re automatically handled by the software applica tion. You need to change the setting s manually only when you want to change pri nt quality, print on specif ic types of paper, or use spe cial features. For more informa tion about selecting the best print media for your d ocuments, see Select pr int media .
Print documents (Mac OS X) 1. Load paper in the t ray. For more information, see Load media . 2. If you are using Ma c OS X (v10.4), complete the f ollowing steps: a .F r o m t h e File menu in your softwa re application, choose Page Setup . b . Choose the desir ed printer in the Format for pop-up menu.
Print brochures (Ma c OS X) 1. Load paper in the tra y. For more information, se e Load media . 2. If you are using Mac OS X (v10.4), complete the followi ng steps: a .F r o m t h e File menu in your sof tware application, choose Page Setup . b . Choose the desired pri nter in the Format for pop-up me nu.
6. In the Basic Options area, from the Size drop-do wn list, select More . Then, select the appropriat e envelope type. TIP: You can change more option s for the print job by using the features available on th e other tabs in the dial og box. 7. Click OK , and then click Print or OK to begin pri nting.
3. Select the product yo u want to print to. 4. If your Web browser supports it, select the items on the We b page that you want t o include in th e printout. For example, in Internet Explore r, click the Options tab to select options such as As laid out on screen , Only the selected frame , and Print all linked documents .
5. Click Photo Printing – Borderless or Photo Printing with white borders i n the Printing Shortcuts list. The defaul t settings are displa yed. NOTE: To achieve the highe st dpi resolution, you can use the Maximum dpi setting with support ed types of photo paper.
8. Select the approp riate Photo Fix options: • Off: applies no HP R eal Life Technologies to the image. • Basic: automatically focuses the image; moderately adjusts image sharp ness.
7. Select the paper t ype: a . Click More in the Paper type drop-down list. b . Click the desired paper typ e, and then click OK . 8. Click OK , and then click Print or OK to begin pri nting.
NOTE: You cannot print a borderless docu ment if the paper type is set to Plain paper . NOTE: Before printing a b orderless document, ope n the file in a softw are application and assign the im age size. Make su re the size correspond s to the media size on which you are printing t he image.
6. Choose Paper Type/Quality from the po p-up menu (located belo w the Orientation setting in Mac OS X v10. 5), and then choose the follow ing settings: • Paper Type: The appropriat e paper type • Quality: Bes t or Maximum dpi NOTE: If your computer is using Mac OS X (v10.
3 Scan Using the product ’s control panel, you can scan origi nals and send them to a variet y of destinations, such as a folder or a program on a compute r. You can also scan origin als using the HP software pr ovided with the product and TW AIN-compliant or WIA-complian t programs on a computer .
3. Press right arrow to select what to do with the scan, and then p ress OK . 4. Press Start . Edit a scanned document us ing optical character recognition (OCR) software You can use OCR so ftware to import scanne d text into your prefe rred word-processing program for e diting.
4C o p y You can produce high-quality co lor and grayscale copies on a variety of paper types and sizes. NOTE: If you are copying a documen t when a fax arrives, the fax is stored in the device memory until t he copying finishes. This can red uce the number of fax pag es stored in memory.
• Lighter/Darker set tings • Resizing ori ginals to fit on di fferent paper sizes You can use these setti ngs for single copy j obs, or you can save set tings to be used as defaults for future jobs. To change copy setti ngs for a single job 1. Press left arrow or righ t arrow to navigate bet ween different cop y options.
5F a x You can use the device to send and receiv e faxes, including co lor faxes. You can schedule faxes to be sent a t a later time and set up speed-dia ls to send faxes quickly and easily to frequent ly used numbers.
TIP: You can also send a fax manual ly from a phone or by using mo nitor dialing. These features all ow you to control the pace of your dialing. They are also useful when you want to use a calling card to cha rge the call and you ha ve to respond to tone prompt s while dialin g.
4. If the recipient answ ers the telephone, you can en gage in a conversation before sending your fax. NOTE: If a fax machine an swers the call, y ou will hea r fax tones fr om the receiving fax machine. Pro ceed to the next step to transmit the fax. 5.
Send a fax from memory You can scan a black-and-white fax into memory and then send the fax from memory. This feature is useful if the fax number yo u are trying to reach is busy or temporarily unavailable. Th e device scans the origina ls into memory and sends them once it is able to connect to the re ceiving fax machine.
6. Enter the fax numbe r by using the keypad , press Speed Dial to select a speed dial, or press Redial/P ause to redial the last number dia led. 7. Press Start . The device scans all pa ges and the scheduled tim e appears on the di splay. The fax is sent at the scheduled t ime.
phone lines. On poor phone lines, ECM increa ses sending time and phone charges, but sends the data much m ore reliably. The default se tting is On . Turn ECM off only if it increases phone ch arges substantially, and you can accept poorer qualit y in exchange for reduced charges.
You can receive faxes manuall y from a phone that is: • Directly co nnected to the device ( on the 2-EXT port) • On the same phon e line, but not directly connec ted to the device To receive a fax m anually 1. Make sure the device is tu rned on and you have paper load ed in the main tray.
NOTE: If Backup fax is enabled a nd you turn off the device, all faxes stored in memory are deleted, including any unprinted faxes tha t you might have received w hile the device was in a n error condition. You must cont act the senders to ask them to resend any unprinte d faxes.
NOTE: The HP All-in-One d oes not support polling pass codes. Polling pass codes are a security feature t hat require the receiving fax machin e to provide a pass code to the device it is polling in order to receive t he fax.
NOTE: If an incorre ct paper size is loa ded in the main tra y when you receiv e a fax, the fax does not print and an error message appea rs on the display. Load let ter, A4, or legal paper, and t hen press OK to print the fax. To set the paper size for re ceived faxes from the devic e control panel 1.
Add number s to the junk fax li st You can block specific num bers by adding them to the junk fax l ist. To manually enter a nu mber to block 1. Press Setup . 2. Press right arrow to select Fax Setti ngs , and then press OK . 3. Press right arrow to select Junk F ax Blocker , and then p ress OK .
Receive faxes to your computer (Fax to PC and Fax to Mac) Use Fax to PC and Fax to Mac to automatically receive faxe s and save faxes directly to your computer. Wit h Fax to PC and Fax to Mac, you can st ore digital copies o f your faxes easily and also eli minate the hassle of dealing with bulky paper file s.
Modify Fax to PC or Fax to Mac settings You can u pdate the Fax to PC sett ings from your co mputer at any t ime from the Fa x Settings page in th e Solution Center. You can upda te the Fax to Mac settings fro m the HP Setup Assi stant . You can turn of f Fax to PC or Fax to Mac and disable pri nting faxes from the device cont rol panel.

If you use one of the follow ing, setting the fax spee d to a slower speed might be required: • An Internet phone service • A PBX system • Fax over Internet Prot ocol (FoIP) • An integrated servi ces digital network (ISDN ) service If you experience prob lems sending and recei ving faxes, try using a low er Fax Spee d .
NOTE: If you have que stions about Internet faxing, contact your Internet faxing services support departm ent or your loca l service provi der for further assistance. Use reports You can set up the device to print error reports and confirmati on reports automaticall y for each fax you send and rece ive.
3. Press right arrow to select Fax Confirmati on , and then press OK . 4. Press right arrow to select one of the fol lowing, and then press OK . Off Does not print a fax confirmation report when yo u send and receive faxes successfully. This is the default setting.

Print a Caller ID History Report Use the following procedure to print a list of Caller ID fax numbers. To print a Caller ID History Report 1. Press Setup , select Printer Repor t , and then select Caller ID History Report .
6 Work with ink cartridges To ensure the best print qu ality from the HP All-in-One, you will need to perform some simple maintenan ce procedures. This secti on provides guidelines for handlin g the ink cartridges, instruct ions for replacing t he ink cartridges, and aligning and clean ing the printh ead.
• Handle ink cartridg es carefully. Dropping, jarring, or roug h handling during inst allation can cause temporary printing problems. • If you are transpo rting the product, do th e following to p.
Handle the ink cartridges Before you replace or clean a n ink cartridge, you should know the part names and how to handle the ink cartridges. 1 Copper-colored contacts 2 Plastic tape with pink pull tab (m ust be removed before installin g) 3 Ink nozzles under tape Hold the ink cartrid ges by their black pla stic sides, with t he label on top.
available to avoid possible printing delays. You do not need to rep lace the ink cartridges until print q uality becomes un acceptable. For more information ab out ordering ink cartridges for the device, see Order printing supplies on line . To replace th e ink cartridges 1.
If you are replacing the black ink cartridge, remove the ink cartri dge from the slot on the right. 4. Pull the ink cartri dge toward you, out of its slot. NOTE: HP provides recycling options for used ink cartridges in many countries/ regions. For more informa tion, see HP inkjet supplies recycling program .
6. Hold the ink cartridge w ith the HP logo on to p, and insert the new ink cart ridge into the empty cartrid ge slot. Make sure you push the ink cart ridge in firmly until it sn aps into place. If you are installi ng the tri-color ink cartridge, slide it into the left sl ot.
10. Load the ink cartridge alignment sheet face dow n on the scanner glass in the front right corner with the top of the page to the ri ght, and then press OK . For more information, see Load an origin al on the scanner glass . The HP All-in-One a ligns the ink cartridges.
3. Selects Tools an d then select Align Cartridg e . The product prints an ink cartridge alignmen t sheet. 4. Place the alignmen t sheet face down on the scanner g lass. For more information, see Load an original o n the scanner glass . 5. Press OK to scan the al ignment sheet.
To align the ink c artridges from the HP so ftware 1. Load letter or A4, unuse d, plain white paper in th e input tray. For more inf ormation, see Load media . NOTE: If you have colore d paper loaded in the inpu t tray when you align the ink cartridges, the alignment will f ail.
To clean the ink cart ridges from the product control panel 1. Load letter, A4, or legal unused plain w hite paper into the input tray. 2. Press Setup . 3. Select Tools , and then select Clean Cartridge . The device prints a page that you can recycle or discard.
7 Solve a problem The informatio n in Solve a probl em sugges ts solution s to common pr oblems. If your device is not operat ing correctly and those suggestions d id not solve your problem, try using on e of the follo wing support se rvices to obtain assis tance.

Solve printing problems This section contai ns the following topics: • The device shuts down unexpe ctedly • Error message appears on control-panel di splay • Alignment fails • The device is n.
Check the dev ice software installatio n If the device is t urned off when printin g, an alert message shoul d appear on your co mputer screen; otherwise, the device software might not be installed correct ly. To resolve this, uninstall the so ftware completely, and t hen reinstall the de vice software.
There is a blank page in the file Check the file to make sure t here is no blank page. Somethin g on the page is missing or in correct Check the mar gin settings Make sure the margin set tings for the document do not exceed the printabl e area of the device.
electromagnetic fie lds. Also, it is recommended that you use a USB cable that is less than 3 meters (9.8 feet) l ong to minimize the ef fects of these electromagn etic fields. If the above soluti ons do not work, the problem may be caused by the inability o f the application to interp ret print settings properly.
The images below show the difference between vertical a nd horizontal st reaking. Horizontal Streaks Vertical streaks NOTE: Streaks on a copied documen t commonly appear w hen the scanner glass or the plastic strip in the automatic document feeder (ADF ) is dirty.
Step 1: Chec k the print quality se ttings The print quality sett ings in the product softw are might not be optimized for the type of document you are printing. Foll ow these steps to check these setti ngs. If the issue persists , continu e to the next solution Step 2: Check the Print in Grayscale setting .
Mac OS X 1. From the File menu in y our software appl ication, choose Print . 2. Choose Paper Ty pe/Quality from the pop-up menu (located belo w the Orienta tion setting in Mac OS X v10.5). 3. In the Color Options area, make sure the Color setting is not set to Grayscale .
Print Quality Dia gnostic Report 1. Load regular, whit e, letter-size or A4 paper 2. On the product co ntrol panel, press (Setup), select Print Report , select Print Quality , and then press OK . 3. Evaluate the Print Qua lity Diagnostic Report: a Ink level b Color bars c Large-font text d Alignment pattern a .
b . Color bars: Look at the color ba rs in the middle of the page . You should see seven color bars. The se bars should have sharp edg es, should be solid (not streaked with whit e or other colors), and should be uniform in color throughout.
To prevent proble ms causing ragged bars on the PQ Diagn ostic Report, try the following sol utions: • Avoid leaving un-t aped ink cartridges outside of the printer for an extended period of time . For more information about handling in k cartridges, see Handle the ink cartridges .
Examples of bad large-font text The letters are jagged . The letters are smeared . The letters are ragged on one end . d . Alignment pattern: If the color bars and large-fon t text look OK and the ink cartridges are not emp ty, look at the alignme nt pattern directl y above the color bars.

Self-T est Report Follow these ste ps to print, and then evaluate a Diagnostic re port. 1. Load regular, whit e, letter-size or A4 pap er. 2. On the product control pa nel, press (Setup), select Print Report , select Self - Test , and then press OK . To evaluate the Di agnostic Page: 1.
Example of Good Bars - all bars a re solid, sharp-edged, and uniformly colored - the printer is operating corre ctly. • The black bar i s printed by th e Black Ink Cartridge • The colored ba rs ar.
Black Text 2. Look at the black text printed on the page. The t ype should be sharp and cle ar. Example of good black text - the letters are shar p and clea r - the printer is operating correctly Example of bad black text - the letters are smeared .
Solution 9: Repla ce the problem ink cartridge If you saw defects on the Print Quality Dia gnostic Report or Self-Test Report and clea ning and alignment did not help, replace the problem ink cartridge . For instructions, see Replace the ink cartridges .
7. Clean only the copper-colo red contacts. Allow the ink ca rtridges to dry for approximately te n minutes. 1 Copper-colored contacts 2 Ink nozzles (do not clean) 8. Slide the i nk cartridge back into the slot. Push the ink cartridge forwa rd until it clicks into place.
To clean the a rea around th e ink nozzles 1. Turn on the device and o pen the ink cartridge door. The print carriage m oves to the far right side of the devi ce. 2. Wait until th e print carriage is idle and silent , and then unplug the p ower cord from the back of the devi ce.
Media is not pi cked up from a tray • Make sure media is lo aded in the tray. For more i nformation, see Load media . Fan the media before loading . • Make sure the pap er guides are set to the correct markings in the tray for the media size you are loading.
• When using thin special media, make sure that t he tray is completely loade d. If you are using special medi a that is only available in sm all quantities, try placing th e special media on top of other pa per of the same size to help fil l the tray.
Documents are missing or faded • Check the media The media might not meet Hewlett- Packard media specificat ions (for example, th e media is too moist or too rough).
• Black dots or streaks Ink, glue, correction f luid, or an unwanted subst ance might be on the scanne r glass or lid backing . Try cleaning the device.
• Text cannot be ed ited • Error messages appear • Scanned image quality is poor • Scan defects are ap parent Scanner did nothing • Check the origi nal Make sure that the ori ginal is placed on the scanner glass correctly. For more information, see Load an original on the scanner glass .
Part of the docume nt did not scan or tex t is missing • Check the original ◦ Make sure that you load ed the original correctly. For more information, see Load an original on t he scanner glass . ◦ If you are copying a b orderless original, load the original on the scanner glass, not the ADF.
Error messages appea r "Unable to activate TW AIN source" or "An error occurred whi le acquiring the image" ◦ If you are acquiring an image fr om another device, such as a digital cam era or another scanner, make sure th at the other device is TWAIN-compli ant.
Take steps to imp rove the scan quality ◦ Use high-qualit y originals. ◦ Place the media correct ly. If the media is placed in correctly on the scanner glass, it might skew, which causes unclea r images. For more information, see Load an origin al on the scanner glass .
If the test fails, review the report for information on ho w to fix any problems foun d. For more information, see The fa x test failed . • The fax test failed • The display always show s Phone Of.
• Make sure you use the phone cord that came with the devi ce. If you do not use the supplied ph one cord to connect from the tel ephone wall jack to t he device, you might not be abl e to send or receive faxes. After you plug i n the phone cord that came with th e device, run the f ax test again.
The "Phone Cord Connecte d to Correct Port on Fax" test fail ed Solution: Plug the phone cord into the correct port. 1. Using the ph one cord supplied in th e box with the device, co nnect one end to your telephone wall j ack, then connect the other end to the port labeled 1-LINE on the back of the devi ce.

• Make sure you have correct ly connected the device to th e telephone wall ja ck. Using the ph one cord supplied in th e box with the device, co nnect one end to your telephone wall j ack, then connect the other end to the port labeled 1-LINE on the back of the devi ce.
• Other equipm ent, which uses the same phone line a s the device, mi ght be causing the test to fail . To find out if other equip ment is causing a problem, disco nnect everything from the phone line, and the n run the test again.
Solution: If Fax to PC or Fax to Mac has been enable d, you may not be able to send or receive faxes if the fa x memory is full (l imited by dev ice memory). Solution: • Make sure you used t he phone cord supplied in the box wi th the device to conn ect to the teleph one wall jack.
• Make sure the device is not connected to a tele phone wall jack that is set up for digital ph ones. To chec k if your phone lin e is digital, co nnect a regular an alog phone to the li ne and listen for a dia l tone. If you do not hear a normal sounding dial tone, it migh t be a phone line set up for di gital phone s.
• Make sure the tel ephone you use to initiat e the fax call is connected directly to the device. To send a fax ma nually, the telephone must b e connected directly t o the port labele d 2-EXT on the device, as shown be low.
• If you have an a nswering machine on the same phone line with the device, you might have on e of the followin g problems: ◦ Your answering mach ine might not be set up prop erly with the device. ◦ Your outgoing messa ge might be too long or too loud to allow the d evice to detect fax tones, and the sending fax machine might disconnect.
